LSUMail: Sharing Your Calendar in Outlook 2016

In Office 2016, you can share your calendar with others so that they know when you are available or busy. They will be able to see your meeting, job, or class times, and any other event that you add to your calendar.

To Share a Calendar in Outlook 2016:

1. Open Outlook 2016.

2. Click the Calendar icon at the bottom left of the Outlook window.

3. Your calendar will appear and there will be a panel of options across the top of the page. Click Share Calendar, located in the Share section at the right side of the Office ribbon.

4. Select the To text field underneath the Office ribbon and enter the LSU email address you want to send your calendar to. You can also select an email address from your Address Book, located in the middle section of the Office ribbon.

  • NOTE: You cannot share your calendar this way with someone who does not have an LSU email address. If you want to send your calendar to someone without an LSU email, click the E-mail Calendar button to the left of the Share Calendar button. Your recipient will receive an ICS file that they can import into their personal calendar program.

5. If you would like to ask permission to see the other person's calendar along with sending your own, click the box next to Request permission to view recipient's Calendar located under the Subject text field.

6. You can change the level of the recipient's view permissions under the Details drop-down box in the middle of the window. You can optionally enter some text in the bottom text box of the window to accompany your invitation to share.

7. In order for someone else to edit your shared calendar, you must return to your Calendar homepage and click Calendar Permissions to grant them permission.

8. Select a person to change their calendar permission level. Click OK when you are finished to save changes.
